Purchasing Administrative Assistant
Temp to Hire
Pay: $18.00 - $25.00 per hour
Hours: Monday - Friday, 8:00 AM - 5:00 PM
Summary:
Responsible for purchasing, billing, filing all purchases, and communicating directly with site manager and warehouse customers for excellent customer service.
Responsibilities:
- Oversee billing logs, labor hours report, and lab department worked hours, which are
- sent over to our client monthly.
- Review and record every purchase to meet our monthly budget.
- Create purchase orders and follow up with payments with our purchasing department.
- Constant communication with temporary and security agencies regarding daily reports
- and any situation that needs attention.
- Other tasks can be added to your position’s daily responsibilities based on the
- company’s operational needs.
- Direct communication with forklift/scales/wrapping machines equipment vendors
- regarding any issues.
- Input purchase orders. Expedite orders by suppliers to meet production.
- Compile and maintain information and records in order to prepare purchase orders.
- Coordinate and track shipments. Ensure on-time delivery of material and initiate action
- for return of rejected or unsuitable orders.
- Edit purchase requests and prepare purchase orders.
- Maintain files and records of materials, prices, inventories and deliveries
- Perform related clerical duties.
- Apply standard formulas to calculate extensions and discount applications.
- Operate a personal computer and appropriate software packages or equivalent.
- Run and review match exception reports. Resolve any discrepancies which include vendor/plant communication and system interface issues.
- Manage billing discrepancies, coding and payment approval.
Requirements:
- High School Diploma; Bachelor’s degree desired.
- 2+ years related experience a plus.
- Good oral and written communication skills.
- Understanding of applicable computer systems, such as Microsoft Office, Lotus Notes, and function specific software.
- Good data entry and customer service skills.
- Good analytical and organizational skills; strong attention to detail
