Executive Administrative Assistant

Administrative Assistant needed for Direct Hire opportunity in NW Houston area paying $40K to$46K per year.


  • Completes a wide range of typing tasks on the PC, using a wide variety of software programs.
  • Typing and documentation includes correspondence and reports, which require a high level of typing proficiency and a knowledge of generally accepted business format. Utilizes the personal computer to assist in the preparation and administration of all duties. Is responsible for accuracy of typing, copying, retention of records, and distribution.
  • Exercises discretion and complete accuracy in all duties and various assignments.
  • Receives and screens all visitors and telephone calls for the Chief Development Officer and the executive area. Appropriately directs calls or takes messages as instructed. Conducts visitors to proper offices and announces them.
  • Coordinates all arrangements for senior management attending in or out of town seminars and conferences including registration, travel, lodging and other needs as requested. Prepares travel packet prior to meeting and processes expense reports after meeting to ensure proper documentation, feedback forms and reimbursements are received. Maintains appropriate records for expenses and feedback forms.
  • Sets up, coordinates and arranges Webinars, teleconferences and meeting sites as requested for involved credit union employees. Prepares for meetings by purchasing refreshments, organizing and setting up conference rooms, and notifying involved parties.
  • Maintains accurate and complete records of all Credit Union contracts for maintenance, service, warranties and various Credit Union vendors. Informs the EVP/CDO if a lapse of service is eminent. Completes monthly form of contracts needing action and remits to EVPs for instructions. Completes as instructed and/or ensures timely response is received from each EVP.
  • Works with janitorial service and routine maintenance crews to assure clean, safe, and functional building facilities as assigned. Coordinates requests for problems arising with buildings, premises, furniture, phones, office machines, and vendors, etc. with Facility Manager and CDO to include vendor relations, scheduling, phone calls, follow up, documentation and monthly reports. Assembles monthly inspection reports from each branch and reviews for items needing action.
  • Processes notary requests and renewals in compliance with standard procedures.
  • Processes invoices related to various departments and/or branches according to policy and procedures. Ensures accuracy of general ledger, timeliness and reasonable amount.
  • Sorts and distributes incoming mail to appropriate senior management.
  • Performs duties relating to the Bank Secrecy Act including monitoring for and reporting suspicious activity to appropriate personnel.
  • Completes the required level of in-house certifications and training, including the annual Bank Secrecy Act course.


  • Associate Degree or completion of specialized course of study or equivalent work experience
    Advanced MS Office skills and your Excel must be very advanced and you will be tested
  • Three to five years of experience supporting up to 3 Senior Level Executives
  • Pleasant and highly professional appearance
