Summary:
Our client is seeking a high quality sales support position to include business essential tasks related to sales seminars, client relationships- development and retention, scheduling, and other core functions. Promotes corporate image by representing the firm internally and externally. Liaison between executive leadership, key partners, and clients. Will be fully cross-trained to serve as a diverse team player to also provide support services for other departments whenever business needs arise.
Job Duties:
- Arranging and attending corporate functions such as sales seminars and client events. Includes, but not limited to, venue research, procurement, budgetary management, mail fulfillment, overseeing RSVP’s, tracking attendance, communications with guests both pre and post event, preparing materials, set up and take down, and any other tasks as required.
- Handle scheduling and appointments with attentiveness and organization. Special focus on annuity sales appointments to ensure that only high-quality and well-prepared sales opportunities are scheduled.
- Assist with drafting and review of business correspondence.
- Assist with the design, producing and distributing of digital & printed presentations. Includes but is not limited to, formal proposals of products and services, renewal analysis and annual review packets, enrollment kits, training manuals, and corporate newsletters.
- Maintain good organization of client records. Prompt fulfillment of CRM updates (Redtail) for account data, sales follow up, action items, and reporting. This also includes accurate and timely appointment statistics reports, Seminar Activity reports, and any other metrics/analytics necessary to help drive success for our business.
- Help with key decisions by conducting research, market studies, fact finding, and providing precedents upon request by upper management.
- Help to complete projects and special assignments by establishing objectives; determining priorities, managing time; gaining cooperation of others; monitoring progress; and problem-solving.
- Enhance the firm’s reputation through professionalism and courtesy to both partners and clients online, phone, or during face to face meetings; and in all written communications.
- Client Advocate- Special Certification and Dual Role of Responsibility: In the role as Client Advocate you will be expected to represent the clients and prospective clients view of our firm, to owners and leaders.
This is a newly designated role and is being assigned to this position since our Event/Scheduling Manager has constant interaction and engagement with not only existing clients but prospects in all of our markets, year-round. In such, you have the opportunity to really assess how our client's brand and their reputation is tracking in the public eye, as well as among existing clients.
The role of advocate also involves hearing customer complaints or points of irritation or confusion and working closely with members of our team to help us understand the entire customer experience and improve it within.
You may also need to serve as an advocate with one of our third party partners, or support another member of the Client Services staff in doing so. When working third party on a client’s behalf in this role, you will be expected to;
- Clearly know the client’s wants, needs, and expectations.
- Understand how the process affects the client, but also consider important process points along the way and the validity of actions taken, before making challenges.
- Know the client’s vision and how it might be executed. Prepare them for any limitations.
- Receive their permission to passionately advocate for them.

- Preferred Experience: Minimum 3 years in a previous role with similar job requirements, preferably with sales event coordinating for executive tier events and direct interaction with clients/prospects in a sales support position. Familiarity with working in and maintaining client records using CRM software, Microsoft365, and OneDrive.
