Hours: Monday - Friday, 8:00 AM - 5:00 PM, must be flexible to some nights and weekends as scheduled
Job Function:
The Lifestyle Coordinator is responsible for assisting the Lifestyle Manager with planning, coordinating, and executing community events, activities, and programming. This role involves overseeing the logistical aspects of events, managing vendors, monitoring part-time staff, acquiring sponsorships, and handling budgeting for events. While some marketing tasks are involved, the primary focus is on event coordination and resident engagement.
Duties:
- Plans, coordinates, and executes community events, including managing event logistics, coordinating with vendors, and ensuring smooth operations during events.
- Acquires sponsorships for events, maintains sponsorship relationships, and manages sponsor involvement in activities.
- Manages event budgets, including tracking expenses and ensuring cost-effectiveness.
- Oversees part-time staff during events, providing guidance and ensuring staff adhere to event schedules and responsibilities.
- Assists the Lifestyle Manager with developing and enhancing the event calendar to engage residents in community activities.
- Occasionally assists with facility rentals and reservations, following procedures for booking rooms, pavilions, and fields, though this is not the primary focus of the role.
- Provides some marketing support by assisting with event promotions, including creating flyers and newsletters as needed.
- Answers phones, primarily for Lifestyle inquiries, and assists residents with various questions related to events and recreational programs.
- Handles general administrative tasks related to event management, such as scheduling, coordinating with vendors, and maintaining event records, as well as occasional backup support to the front desk administrator.
- Works flexible hours, including nights, weekends, and some holidays, to support community events and activities.
- Other duties as assigned.
Education, Experience, and Skills:
- Event planning and execution experience is preferred.
- Education/Experience: High School Diploma or GED
- Licenses/Certifications: Valid Driver's License
- Proficiency with Microsoft Office applications and internet
- Experience working with the public and strong customer service skills
- Strong communication skills, both written and verbal, with a professional demeanor
- Ability to manage multiple tasks and maintain composure in challenging situations
- Experience with budgeting, vendor management, and sponsorship acquisition is a plus.
